1. General behaviour: We must insist on reasonable behaviour that
is considerate of other paying guests.
1a. Indemnity: All guests that enter Plumari Game Lodge or any area of the
Plumari Africa Private Game Reserve MUST sign an indemnity upon arrival. The
designated leader or liaison person for a group may sign on behalf of a group
and it is their responsibility to ensure all members of their family or party
are fully aware of the contents. We unfortunately cannot accept any guests who
are not prepared to sign this indemnity.
2. Children: between the ages of 1 and 12 are 50% of
adult cost and babies (up to one year old) are at 10% of adult price.
3. Bar: We are not allowed to serve alcohol to persons under the age of 18 and
hence would kindly ask that such persons do not enter the bar area. Our bar is
licenced. Guests are NOT permitted to bring any food or beverages to the Lodge
UNLESS agreed in advance (such as wine/ champagne covered by Corkage fee for
functions). A breach of this condition will result in an extra charge being
added to the final bill representing the amount that the Lodge would otherwise
have charged for any food/ beverages brought onsite.
4. Game drives: The game ranger is responsible for your safety. This is of
paramount importance. Please follow his instructions at all times.
4a. Hiking trails: We do not operate walks through the Game Reserve however we
do have other hiking trails adjacent to the Reserve. The trails are clearly
marked and guests embark on any hikes at their own risk. We urge guests to take
a cell phone with them on all hiking trails as a contingency for getting lost
or other emergency.
5. Payment: For lesiure accommodation, all bookings must be by either email, web, phone
or fax and will be confirmed by us. Deposits of 50% of stay value are generally required to confirm
bookings at the lodge and 100% for self catering. Deposits are refundable if we are notified (by email or fax) within
time period of the commencement of the stay or event as follows:
· One month or more - 100%
· Two weeks to one month - 50%
· One week to two weeks - 25%
· Less than one week - unfortunately non-refundable
Suite
payments
A deposit will be required in order to confirm any bookings. The final bill
(less deposit paid) is payable prior to departure by CASH or CREDIT CARD ONLY. Unfortunately
we can not accept cheques NOR subsequent internet transfers. See also clause 12 on check-out procedures.
Wedding
payments
A NON-REFUNDABLE deposit of R2,000 is required in order to confirm a wedding
event. At least one month prior to the wedding date you must advise us of the
total number of participants (wedding party and guests who will be eating) AND
make a further deposit of 50% of the expected cost (being chapel hire, meals
and any other incidentals.) Ten days
prior to the wedding date the final 50% will be invoiced and must be settled at
least 48 hours prior to the wedding ELSE WE WILL NOT BE ABLE TO CONTINUE WITH THE
EVENT. We will also require a valid
credit card number as security against any further or unforeseen costs.
Function
payments
A NON-REFUNDABLE deposit of R2,000 is required in order to confirm a non corporate function
or other event. At least ten days prior to the event date you must advise us of
the total number of participants and all relevant details. An invoice will be raised and this amount
must be settled at least 48 hours prior to the event ELSE WE WILL NOT BE ABLE TO CONTINUE
WITH THE EVENT. We will also require a
valid credit card number as security against any further or unforeseen costs.
Conference
and corporate events payments
A deposit of 50% is required in order to formally confirm a conference or corporate event.
The remaining balance will be invoiced after the event and is due on 14 day terms. We will
require business address details and the name of the key contact prior
to the
event. Please see further specific terms and
conditions which form part of a “formal quote” which will be sent by our
Reservations Department in response to a request.
Note that rates quoted are INCLUSIVE of VAT and local taxes. We accept all
major credit cards or internet transfers (prior to visitation only – see above).

Note that for internet transfers for deposits we will confirm your booking once
the funds have cleared and are identified in our account. Unless stated to the
contrary, guests must settle all accounts prior to departure including lodging,
bar account, damages and incidentals.
6. Check-in time is 14:00 and check-out at 11:00 where accommodation is
involved. Late departures between 0 and 2 hours will be charged an extra 20%
surcharge and after 2 hours a surcharge of 30% of Chalet rate. We also ask that
you kindly notify us of any late arrivals.
Please note that guests may arrive prior to check-in however they should
assume that their room will not be ready until check-in time 2pm.
7. Venue Hours for weddings/ functions are as follows: Brunch functions between
7:30 to 14:30 and evening functions between 16:00 to 24:00. See point 8 below
for penalty rates if these timeframes are exceeded.
8. R500.00 per hour or part thereof, will be charged for functions exceeding
the specified venue hours. The function manager must agree to any extension of
times.
8a. Our waitrons are paid by the hour and hence will represent a specific cost
for any weddings/ events. You will be
quoted the number of waitrons and a rate per person required for your event. Such
waitrons are required from one hour prior to the function reception and will
continue until the functions completion - the number of hours will then be
calculated and the extra staffing cost will be computed and detailed in your
final bill. One barman will be included
as part of the venue hire fee with such barman able to handle groups of up to
50 people. For every additional 50 people or part thereof an additional barman
will be required at extra cost to be calculated on the same basis as waitrons
per above (note that barmen will likely be a higher cost than a waitron).
9. De Ou Waenhiis Lodge (Pty) Limited (trading as Plumari Game Lodge) or any of its subsidiaries or employees
do not accept responsibility for any loss or damage by whatever cause
(including power failures or acts of God).
10. All damage to any of our venues, cutlery, crockery, linen and furniture
will be charged directly to the client.
11. All event decorations are to be discussed with management to ensure no damage is done to the venue. Note
that if any decorations are required for a function then these must be arranged
by the client - Lodge staff unfortunately are not available for assisting with
extra decorations.
12. Check-out procedures: All guests MUST hand in their keys to management and
MUST settle their accounts prior to departure. If keys are not returned then the guest will
be charged an amount of R100 per set of keys.
13. Wine lists & bar prices are available on request.
14. We strongly recommend a meeting with our wedding coordinator as soon as
possible after booking with us. She will assist with planning and suppliers and
will introduce the "wedding bible". This is a comprehensive document
that details all relevant matters in respect of the wedding to avoid misunderstanding.
A bible will be completed for all weddings and the contents of this will be
deemed the final agreement of the parties on all matters.
15. If, during the course of your function, management are of the opinion that
a guest or guests have become intoxicated, they reserve the right to suspend
service of alcohol to any such guest/s, and/or to require such guest/s to leave
the licensed areas of the premises.
16. Any telephone calls made from a central office will be charged to your
account. Guests are allowed to bring cell phones but we kindly request that
calls are made discretely.
Feedback: We appreciate all feedback, favourable or constructive. Feedback
forms will usually be available for all guests.
